Why should we use a backup system?
A backup system protects against data loss, e.g. because of...
- ... hardware failure (broken harddisk, USB stick, DVD, CD...).
- ... deletion by mistake, wrong usage.
- ... malware (virus, worm...) which haven't been identified in time.
- ... theft, lost USB / notebook
Which criteria are important for backup systems?
Generally the backup system must be extremely reliable. Furthermore we and the user must be able to master the backup system properly. We use Areca backup software:
- Extremely reliable and stable.
- Technically excellent.
- Many features with easy configuration.
- Very good usability.
- Restore of single files and folders possible.
- Available for all major operating systems.
How do we use a backup system?
- We configure the backup system in a way, that it creates automatically cyclic backups.
- Additionally the user can start a manual backup, e.g. before he leave for a business trip. And we provide pre-defined backup routines such as "Backup the whole system and shutdown the computer afterwards".
- We often combine Areca with a tiny Lemote backup server which stores the backups of the whole network in the background (black-box solution).
- Backup is not only useful in case of major problems such as harddisk crash. It can also restore single files. Most backup software don't offer this feature in a way, that the user really can use it without generating more trouble. Either the user cannot find the right file, or he restores by mistake other (newer) files too. For sure, we can do this for him, but in this case we must be on the spot for each file which have been deleted by mistake. There is a completely different approach: Outsourcing to online systems!
- Documents and files can be stored in an online repository (e.g. DMS). Generally the DMS is the right place for documents. The whole online system is protected with a backup system.
- Switch the mail system from POP to IMAP. POP downloads all mail to your local computer. Backup, switching to another mail software or computer is troublesome. With IMAP your mails are kept on the server. With the server backup system all mails are safe, and using another computer, operating system or mail software is also very easy.
- And there are online backup service companies as well. Be careful, read their privacy terms in advance!
Furthermore...
If you and your colleagues travel a lot, we might setup an online backup system for your company. For sure, we would use encryption for the complete process (starting with encryption on your notebook, encrypted connection to online backup server, encrypted storage etc.). You can backup the latest documents at any hotspot (cafe, airport, hotel...). In case you lose your notebook, you still have your documents!
